The Department of Economic Development has been tasked to optimize activities. In particular, attention was paid to the preparation and creation of documents, forming tasks. It was identified the need to discuss informal documents, to approve at the stage of project creation. Current workflow system did not allow workers to organize an area where they can lead an informal discussion, comment and also personalize users.
To solve this problem the Department of Information Technology focused on the Alfresco ECM 4.0.d CE.
System IWS (informal workspaces) was developed in a short time based on the modified Alfresco Share 4.0.d Community Edition. As a server operating system was made Ubuntu 12.
IWS can create informal areas, based on the loaded document. User automatically becomes the initiator in the informal area. He may invite other existing users or external staff, just input the name, title and email address. New member receives an invitation by e-mail and can be included into the work directly.
Each document can take an informal agreement, member can leave comments and suggestions. It is also possible to manage versions of the document, load a co-existing documents. IWS system integrated with Lotus Domino, the main workflow system of the customer, and can synchronize users automatically.
Already, the IWS is working on a Tablet PC iPad and tablets based on Android, which allows you to view and reconcile documents while traveling.
It is planning a further development of the system and adding a chat function for operational matters.
